What needed to be fixed?
Managers were keeping track of customer
records in an Excel spreadsheet, and payment invoices were edited in Word,
where data had to be manually entered each time. They also used Excel for
payroll and procurement tracking from suppliers. Initially, this approach
didn't pose any issues. However, as the car service station expanded, the
owner realized that managers were losing information, not always able to
record it in spreadsheets on time, and frequently making mistakes.
Therefore, it was decided to automate the processes as a solution.

Inventory management includes recording the
arrival of goods based on invoices from suppliers and registering the sale
of spare parts. Additionally, managers can add products to customer invoices
if they were used during repair work.

This section contains a list of clients, with
a complete service history stored for each of them.

Managers can keep a journal of records and
obtain information about which days are busier and which are less busy.
Additionally, the system allows for the addition of tasks, both for personal
execution and for other employees.

Creating an invoice can be done by selecting a
client from the list or entering a new one, which is automatically added to the
client list. The manager attaches the document to the mechanic for further reporting
and automatic calculation of salaries at the end of the month, as they are
calculated as a percentage of closed invoices.
The system automatically generates PDF invoices
for printing. Additionally, the system includes an "accounting" section where
complete financial information is stored for the entire period. There is also an
"expenses" section where the manager can record unforeseen expenses for proper
reporting at the end of each day.

processes, developed the CRM structure, and established priorities for
tasks.
